West City Construction Ltd employs appropriate administration systems, procedures and processes to suit the size of our operation and demands of activities at the workforce. In brief, these include:

Project Planning & Systems

  • We use company developed comprehensive Microsoft Excel matrix to develop logical methodologies and quality plans for our works. Our methodology database incorporates all resource, programme and health and safety requirements. Our quality database creates the Inspection and Test Plan used to audit/monitor work activities at site to ensure compliance with specifications. Historical information is maintained and easily retrieved to save time in build methodologies for routine works.
  • All permits are obtained, with payment and submittal within programme restraints.

Communications

  • All formal communication is channelled through West City Construction Ltd’s Directors.
  • Project change orders/variations are tracked and traced through formal Variation Order Requests.
  • We use email to record and track formal communication.
  • Subcontractors are not permitted to communicate direct with Client or lead engineer/project manager unless specifically authorised to do so.
  • We facilitate and record Site Meetings to ensure critical information and project status is communicated and recorded
  • Mobile phones are actively used in the field.

Programming

  • We use Microsoft Projects to programme critical activities and schedule work activities in a logically and efficient manner.
  • Brett, in conjunction with the project supervisor, regularly monitors (planned v’s actual) the programme to determine status. Weather or variations affecting the critical path are communicated to the engineer.
  • Key inspection points are identified and incorporated into our construction programme

Estimating & Financials

  • We use company developed Windows based software “ContraPac” to build quantities, scope and values for our tenders.
  • Historical data is maintained and easily retrieved to save time in building tenders/estimates.
  • ContraPac is used to monitor budget/cost as works progress and verify agreed bill of quantity rates. This allows us to prepare and submit accurate and timely Project Claims.
  • Costs to complete reports are compiled to keep clients updated with any changes to the contract value.
  • Project Claims are integrated into our MYOB accounting software where all accounts are managed by our dedicated Administration Manager
  • Progress claims are submitted at the end of each month
